Access and sign in

How do we get access to the portal?

We set the account up and send the first sign in to your nominated primary contact. They can then add everyone else without going through us.

Do we need to install anything?

No. The portal runs in a browser on a computer, tablet or phone. There is nothing for your IT team to install or maintain.

Why do we need an authenticator app rather than a code by text message?

Codes sent by text can be intercepted. Australian Cyber Security Centre guidance recommends an authenticator app instead, so that is what the portal uses. It is required for the primary contact and switched on by default for everyone else.

We only sign in two or three times a year. Do we have to keep a password?

No. Ask for a single use sign in link by email instead. It arrives when you need it and expires shortly after, so there is no password to forget.

How many people can we give access to?

As many as you like. Access is charged per site rather than per person, so there is no reason to share a sign in.

Can we give a contractor access for one day?

Yes. Access for any user can be set to expire, for example after 24 hours. When the period ends the sign in stops working and you do not need to remember to remove them.

For most contractors you do not need to do this at all. Scanning the QR code posted at the building opens the register without an account.

Your data

Where does the information in the portal come from?

From your asbestos reports, whoever produced them. Registers, risk ratings, clearance certificates and air monitoring results are held against the site and building they belong to.

Records can be loaded by us, imported by you from the CSV template, or a mix of the two. Plenty of clients run the portal alongside their own consultant.

How current is it?

As current as the last thing loaded. When an item is recorded as removed it comes off the register straight away, so what you are looking at is the building as it stands today rather than as it stood at the last audit.

Where we produce your reports, clearance certificates are loaded within 24 hours of issue.

Can we still see previous audits?

Yes. The risk rating tab shows your most recent audit by default and says so on screen. Earlier audits are available from the filter.

What happens when a building is demolished?

It is flagged as demolished and drops out of the inspection schedule, so it stops appearing in your upcoming audits. Its photographs move to the archive rather than disappearing.

Can we bring our old records from a previous consultant into the portal?

Yes. There is a CSV template built into the portal. Importing the data yourself is free. If you would rather we entered it from your reports, that is charged at an hourly rate, quoted first. See the Data Migration page.

Risk ratings

How is a risk score calculated?

From four factors, following the National Guide for Asbestos Surveys 2025:

  • Product risk, the material itself
  • Condition, stable through to poor
  • Disturbance potential, how likely it is to be disturbed
  • Building rating, public access, occupancy, activity level and mobile plant

All four factors and the final number are shown, so a rating can be explained to an inspector, a board or an insurer.

What do High, Medium and Low actually mean?

High is 69 and above: restrict access and arrange removal. Medium is above 50 and below 69: encapsulate, monitor and schedule removal. Low is 50 and below: manage in place and reinspect.

We do not agree with a rating. Who do we talk to?

Whoever produced the report the score came from. Every item records the report author and date, so it is always clear who assessed it.

Where we produced it, ring us and you will be speaking to the person who set the rating.

How often does a register need reviewing?

At least every five years, and sooner where material is deteriorating. The portal tracks the date for every site and flags the ones that have run past it on your dashboard.

QR codes

What happens when someone scans the code?

The current audit report for that building opens on their phone. There is no sign in and no app to install. Nothing else on your account is exposed.

Is it one code per site or one per building?

It follows the audit structure. One code for the whole site where a single report covers it, or one per building where the audits are split.

A code has been painted over. What do we do?

Use the report a faulty code button on that row in the QR tab. We issue a replacement.

Security and privacy

Who can see our data?

Data in Asbestos Management Pro is your data. It is visible to the people you have given access to.

Account settings hold a sign in history and an activity log covering who opened or downloaded which report, so you can see exactly who has been in and what they looked at.
